Practical guide
A PDF locks your layout; a Word file can be reworked. Which one to send, when, under what file name, and the traps that make a file unreadable to screening robots.
PDF or Word? It sounds like a technical question, yet it decides two things: what the recruiter sees when opening your file, and what screening software manages to read in it. The short answer fits in one line: a PDF exported from your word processor, unless you are asked for a Word file. The long answer, with the traps, the file name and what the site does with each format, follows.
A PDF displays the same way everywhere: the fonts are embedded in the file, and the margins, photo and colours stay where they are. That is its great strength. But not all PDFs are equal.
A Word file can be edited: that is why you are asked for one, and that is why it is riskier.
| Format | What screening software reads | Send it? |
|---|---|---|
| Exported PDF | The text, in the order it is stored in the file. | By default |
| Scanned or image PDF | Nothing: the file has no text. | Never |
| Word (.docx) | The text and heading styles; text boxes and tables read badly. | When you are asked for it |
| Old Word format (.doc) | Not always accepted by online forms. | Save it as .docx |
| Photo, screenshot (JPG, PNG) | Nothing. | Never |
| Canva or Google Docs link | Nothing: a link is not a file. | Export it as a PDF |
To see what software really reads in your file, our ATS CV check shows you your CV “the way an ATS robot reads it”: the text extracted from your PDF or Word file, in reading order. How this software works is explained in our guide to ATS screening robots.
You can upload a PDF, a Word file (.docx), a photo of your CV, or paste its text. A PDF is read twice: its text is extracted the way screening software would do it (that is what the results show you), and the AI reads the document itself. A Word file is read up to 30,000 characters of text, and its photo is carried over when “My structure” redraws it. A photo of your CV is read by the AI, but the ATS score reminds you that screening software would get nothing from it. The old .doc format is refused: save it as .docx first.
In short: you have a Word file and want to keep its layout exactly as it is? Export it as a PDF from Word, then use “Same layout”. You want a Word file at the end? That is “New template”.
With no instructions, the PDF: it opens anywhere and keeps your layout. A Word file is requested when someone needs to rework your CV, often a recruitment agency. If the job ad specifies a format, use that one.
Select a sentence with your mouse: if the text highlights word by word, it can be read. If nothing happens, or the whole page selects as one block, your PDF is an image. The site's ATS CV check shows the text software extracts from it.
A file is better: a link can expire or require a login or access rights, and an application form expects an attachment. Export your CV as a PDF and send that file.
Yes, with “New template”: the rewritten CV downloads as a .docx with genuine Word styles, and as a PDF. “Same layout” and “My structure” give you a PDF.
